Getting Started
RentKhata is a web-based property management system designed for individual property owners and small landlords. It helps you manage rooms, renters, monthly billing, payments, documents, expenses, and WhatsApp reminders โ all in one place.

System requirements
RentKhata runs entirely in your web browser. You only need:
- A modern browser (Chrome, Firefox, Edge, Safari)
- Internet connection (for accessing the hosted app)
- A phone number (for WhatsApp features, optional)
Tip: Bookmark your RentKhata URL so you can access it quickly from your phone or desktop.
Account Setup & Login
Creating your account
Open the RentKhata URL in your browser. You will see the Sign Up page.
- Full nameEnter your full name as you want it to appear on receipts and agreements.
- EmailUse a valid email โ this is your login ID and cannot be changed later.
- Phone numberOptional but recommended for WhatsApp features.
- Business nameEnter your property business name, e.g. "Sharma Properties". Appears on receipts.
- Set passwordChoose a password of at least 8 characters. Keep it safe.
- Confirm passwordType the same password again to confirm.
- SubmitClick "Create Account". You will be redirected to the Login page.
Logging in
Enter your registered email and password, then click Log In. You will be taken to your Dashboard.
Forgot password
- Click "Forgot password?" on the login page.
- Enter your registered email address.
- A reset link will be sent (in development: check
storage/logs/password_resets.log). - Click the link, set a new password, and log in.
Note: Each owner's data is completely separate. Your renters, rooms, and invoices are only visible to you.
Setting Up Your Properties
Before adding renters or invoices, set up your property structure: Locations โ Rate Slabs โ Rooms. Think of it as: Location is your building, Rooms are inside it, and Rate Slabs are rent templates.
3.1 Locations
A Location represents a physical property or building. Examples: "Sector 5 Apartment", "MG Road Building", "Rajpur Colony".
- Go to LocationsClick "Locations" in the left sidebar.
- Add LocationClick the "Add Location" button (top right).
- Enter nameGive a clear name, e.g. "Block A โ Sector 12".
- AddressEnter the full address (optional but recommended).
- City & stateFill in city and state for records.
- SaveClick "Add Location". It will appear in your list.
Tip: You can have multiple locations. Each shows total rooms, occupied count, and vacant count on the list page.
Editing or deleting a location
- Click the pencil icon to edit name or address.
- Click the trash icon to delete. Note: you cannot delete a location that has rooms โ remove or reassign rooms first.
3.2 Rate Slabs
Rate Slabs are reusable rent templates. Instead of manually typing the base rent for every room, you create a slab once and assign it to rooms.

Note: Rate slab base rent auto-fills when generating invoices. You can still override it per invoice.
3.3 Rooms
Rooms are the individual units you rent out. Each room belongs to a location and can have a rate slab assigned.
- Go to RoomsClick "Rooms" in the sidebar.
- Add RoomClick "Add Room".
- Select locationPick which location/building this room is in.
- Room numberEnter the room identifier: "101", "A-2", "Ground Floor 1".
- FloorOptional: enter floor name/number.
- Rate slabSelect a rate slab (optional โ can be left blank for custom rent).
- SaveClick "Add Room". Room starts as Vacant.
Tip: Filter rooms by status (Vacant/Occupied) or by location using the dropdowns on the Rooms page.
3.4 Listing a Room Publicly
Any vacant room can optionally be published to the public Room Marketplace (Chapter 16) so people searching for a room online can find it.
- Open the roomGo to Rooms โ click the room โ Edit.
- Toggle "List this room publicly"Switch it on. Extra fields appear.
- DescriptionWrite a short, honest description of the room โ size, light, neighborhood, anything that helps a renter decide.
- Offer (optional)A short badge shown on the listing, e.g. "No brokerage" or "First month 10% off".
- AmenitiesTick what's included: Fan, TV, Bed, Table, Chair, Wardrobe, Geyser, WiFi, or add your own in "Other".
- PhotosUpload several room photos at once. The first photo becomes the cover image shown on the marketplace.
- SaveClick "Save Room". A "Listed Publicly" badge now appears next to the room everywhere in your dashboard.
Privacy by design: The public listing only ever shows the room's city/state โ never your exact street address, your phone/email, or any current renter's information. A room is automatically hidden from the public page the moment it becomes occupied, even if "List Publicly" is still switched on.
Managing Renters
4.1 Adding a Renter
Renters are added to a specific room. A renter starts as Pending until you complete the move-in checklist.
- Go to RentersClick "Renters" in the sidebar.
- Add RenterClick "Add Renter" (top right).
- Select roomChoose from the list of vacant rooms.
- Full nameEnter the primary renter's full name.
- Phone & emailPhone is important for WhatsApp reminders.
- Security depositEnter the deposit amount and the date it was received.
- Lease datesEnter lease start date, end date, and notice period (days).
- ID proofUpload a photo or PDF of Aadhaar / PAN / Passport (max 5 MB).
- Co-occupantsAdd family members or co-occupants using the "+ Add" button.
- SaveClick "Add Renter". You will be taken to the renter's profile.
Tip: You can click "Add Renter" from a Room's detail page too โ the room will be pre-selected.
4.2 Move-In Checklist
After adding a renter, they stay as Pending until all move-in steps are completed. The checklist is on the renter's profile page.

Note: You do not need to check all 4 at once. Save progress and come back later.
4.3 Renter Profile
The renter profile page is the central hub for everything related to one renter:
- Room & contact
- Room number, location, phone, email, ID proof link
- Security deposit
- Amount held, date received, refund status
- Lease details
- Start/end date, notice period, renewal status
- Co-occupants
- Family members and their phone numbers
- Move-in checklist
- 4-item checklist with save button
- Payment punctuality
- Grade (A/B/C/D) based on on-time payment history
- Documents
- List of uploaded docs with expiry alerts
- Invoice history
- All invoices with paid/unpaid status
Tip: From the renter profile, you can directly generate an invoice, record a payment, upload a document, or start the move-out process.
Documents & ID Proofs
RentKhata tracks documents for each renter and alerts you when they are about to expire โ important for KYC compliance (police verification, Aadhaar, PAN, etc.).
Uploading a document
- Open renter profileGo to Renters โ click the renter's name.
- Click Upload DocIn the Documents section, click "Upload Doc".
- Document typeSelect from: Aadhaar Card, PAN Card, Passport, Voter ID, Driving Licence, Rental Agreement, Police Verification, Passport Size Photo, Other.
- Expiry dateEnter the document's expiry date. This field is mandatory.
- Upload fileChoose the file (JPEG, PNG, or PDF, max 5 MB).
- SaveClick "Upload Document".
Note: For documents without a fixed expiry (like a Rental Agreement), set the expiry to the lease end date, or 1 year from today as a review reminder.
Expiry alerts
You can view expiring documents in two places: Dashboard โ "Docs Expiring (30 days)" widget, or the Documents page (filter by Expiring/Expired).

Global documents view
Click "Documents" in the sidebar to see all documents across all renters, sortable by expiry. Use the filter tabs at the top to quickly find expiring or expired documents.
Monthly Billing
The billing cycle in RentKhata has three steps: enter meter readings, generate invoices, then record payments.
6.1 Meter Readings
Before generating invoices, enter electricity meter readings for each occupied room. The system calculates units consumed and the electricity charge automatically.
- Go to Meter ReadingsClick Invoices โ "Generate Invoices", or navigate to Meter Readings from the sidebar.
- Select roomChoose the occupied room from the dropdown. The previous reading auto-fills.
- Enter dateSelect the reading date (usually last day of the month).
- Current readingType the current meter reading in units.
- Unit rateEnter the rate per unit (e.g. โน7.00). Check your DISCOM tariff.
- Live calculationThe page shows units consumed and total charge instantly.
- Photo (optional)Upload a photo of the meter for proof.
- SaveClick "Save Reading".
Tip: The previous reading auto-fills from the last saved reading for that room. You only need to enter the current reading each month.
6.2 Generating Invoices
Once meter readings are done, generate invoices for all active renters in one click.
- Go to InvoicesClick "Invoices" in the sidebar.
- Generate InvoicesClick "Generate Invoices" button (top right).
- Select month/yearChoose the billing period.
- Set due dateEnter the payment due date (e.g. 10th of the month).
- Review rentersAll active renters are listed. Electricity auto-fills from meter readings.
- Adjust chargesEdit Rent, Water, or Other amounts per renter if needed.
- Select all / deselectUse checkboxes to choose which renters to bill.
- GenerateClick "Generate Selected Invoices". Duplicate invoices are skipped automatically.
Note: If an invoice already exists for a room + month + year combination, it is skipped. You cannot accidentally create duplicates.
6.3 Recording Payments
When a renter pays, record it in RentKhata. The invoice status updates automatically.
- Go to PaymentsClick "Payments & Dues" in the sidebar, or open the renter's profile.
- Record PaymentClick "Record Payment".
- Select invoiceChoose the invoice from the dropdown. Balance due is shown.
- AmountEnter the amount paid. Click "Full Balance" to fill automatically.
- MethodSelect: Cash, UPI, Bank Transfer, or Other.
- ReferenceEnter UPI transaction ID, cheque number, etc. (optional).
- DateEnter the date the payment was received.
- SaveClick "Record Payment". A receipt is shown immediately.

- No payments recorded yet

- Some amount paid, balance remaining

- Full amount received โ invoice closed
Tip: You can record multiple partial payments against one invoice. Each payment shows separately on the receipt.
6.4 UPI QR Code
Share a UPI QR code with renters so they can pay directly from their phone using any UPI app (Google Pay, PhonePe, Paytm, etc.).
- Open invoiceGo to Invoices โ click the invoice.
- UPI QRClick the "UPI QR" button.
- Show renterShow or send the QR to the renter. The exact balance due is pre-filled.
- Scan & payRenter scans with any UPI app and pays.
- Record paymentAfter receiving the payment, record it manually in RentKhata.
Note: To use UPI QR, add your UPI ID to the .env file: UPI_DEFAULT_ID=yourname@upi. If not set, the QR will show a configuration message.
Expenses
Track all property-related expenses โ maintenance, plumbing, electrical work, cleaning, security, and more. Expenses feed into the net profit calculation in Reports.
Adding an expense
- Go to ExpensesClick "Expenses" in the sidebar.
- Add ExpenseClick "Add Expense".
- DateEnter the date the expense was incurred.
- CategorySelect: Maintenance, Plumbing, Electrical, Cleaning, Security, or Misc.
- AmountEnter the amount in โน.
- LocationLink to a specific property, or leave as "General" for all properties.
- DescriptionAdd notes: "Fixed broken water pipe, Block A Room 3".
- AttachmentUpload a bill or photo (JPEG, PNG, PDF โ optional).
- SaveClick "Add Expense".
Filtering expenses
On the Expenses page, filter by month and year, category, or location. The total expense amount for the selected filter is shown at the top in red.
Tip: Attach photos of bills and receipts so you have a digital paper trail for tax and audit purposes.
WhatsApp Reminders
RentKhata can automatically send WhatsApp messages to renters for payment reminders, payment receipts, and announcements.
Modes of operation
- Mock Mode (default)
- When no API key is set, messages are logged to storage/logs/whatsapp.log instead of being sent. Ideal for testing.
- Live Mode
- When a WhatsApp BSP API key is configured, messages are actually sent to renters' phones.
Message types
- Due Reminder
- Sent when an invoice is due โ includes amount due and due date.
- Overdue Reminder
- Sent when invoice is past due date โ includes days overdue.
- Payment Receipt
- Confirms payment received โ amount, method, date, reference.
- Announcement
- Custom message from owner to all or specific-location renters.
Setting up WhatsApp (Live Mode)
Choose a WhatsApp Business Service Provider (BSP) and get API credentials โ Gupshup, AiSensy, Interakt, or MSG91. Then set these in your .env file on the server:

Automated daily reminders (cron job)
Set up a cron job on your server to automatically send reminders every day at 10am:

Note: Renters must have a phone number saved in their profile for WhatsApp to work. Without a phone number, the message is skipped.
Announcements
Send property-wide notices to all renters or renters in a specific location โ water supply shutdown, maintenance work, society rules, etc.
- Go to AnnouncementsClick "Announcements" in the sidebar.
- New AnnouncementClick "New Announcement".
- TitleShort heading, e.g. "Water Supply Shutdown on 25th Dec".
- MessageWrite the full notice text.
- TargetSelect "All Properties" or a specific location.
- SaveClick "Save Announcement".
- Send via WhatsAppOn the list page, click the green "Send" button to dispatch to all targeted renters.
Tip: Save the announcement first, review it, then send. This way you can re-send later or edit before sending.
Move-Out & Deposit Refund
When a renter is leaving, use the Move-Out workflow to settle dues, process the deposit, and free up the room.
Starting move-out
Go to the renter's profile page โ click "Initiate Move-Out" (visible only for active renters after move-in is complete).
Move-out checklist
- Move-out date
- Date the renter has requested to vacate.
- Final meter reading
- Last electricity reading โ used to calculate the final electricity bill.
- โ Deposit adjusted
- Security deposit has been settled against dues.
- โ Dues cleared
- All outstanding invoices are paid or waived.
- โ Inspection done
- Room has been physically inspected after vacating.
Deposit settlement
The system automatically calculates the suggested refund:
- Deposit Held โ Outstanding Dues = Suggested Refund
- If dues exceed the deposit, the excess amount is shown separately.
- You can override the refund amount (e.g., if you deduct for damages).
When all 3 checklist items are ticked and you save: renter status changes to Archived, room status changes back to Vacant, and full history (invoices, payments) is preserved for records.
Note: An archived renter's data is never deleted. You can always view their payment history by filtering Renters by "Archived" status.
Room Transfers
If an active renter needs to move to a different room (within your properties), use the Room Transfer feature. All their invoice and payment history follows them automatically.
- Open renter profileGo to Renters โ click the renter.
- Transfer RoomClick "Transfer Room" button (visible for active renters).
- Select new roomChoose a vacant room from the dropdown.
- Transfer dateEnter the date of transfer.
- ReasonOptional: note the reason (e.g. "Requested larger room").
- ConfirmClick "Confirm Transfer".
After transfer: old room โ Vacant, new room โ Occupied, all invoices and payments remain linked to the same renter record, and the transfer is logged for audit trail.
Reports & Exports
The Reports section gives you a financial overview of your properties โ occupancy, collections, expenses, and profit.
Dashboard report
Go to Reports in the sidebar and select Month + Year to see:
- Occupancy rate
- % of rooms currently occupied across all locations.
- Collection rate
- % of billed amount actually collected this month.
- Revenue collected
- Total payments received this month.
- Net profit
- Revenue Collected โ Total Expenses for the month.
- Per-location breakdown
- Each property's rooms, occupancy, revenue, expenses, and net.
- 12-month trend
- Month-by-month collection table for the past year.
Collection report
Click "Collection Report" to see a detailed table of all invoices for the selected month โ every renter, every room, with rent, electricity, water, total, paid, and balance.
Export to CSV
Click "Export CSV" to download the collection report as a spreadsheet you can open in Excel or Google Sheets.
Tip: Run the Collection Report at the end of each month and save the CSV for your records. It works as a rent ledger.
Rent Agreement
RentKhata can generate a standard rent agreement pre-filled with all details of the renter, room, rent, and deposit.
- Open renter profileGo to Renters โ click the renter's name.
- View AgreementClick "View Agreement" in the Lease Details section.
- ReviewAuto-filled with: owner name, renter name, room address, base rent, deposit, lease start/end dates, notice period.
- Print / PDFClick "Print / PDF" โ the browser print dialog opens. Save as PDF or print.
- SignGet both parties to sign the printed copy.
Note: The agreement template includes standard clauses: residential use only, no subletting, maintenance responsibilities, and governing law. You can print multiple copies for your records.
Dashboard Overview
The Dashboard is the first page you see after logging in. It gives you a quick snapshot of everything important.
- Total rooms
- Total number of rooms across all your locations.
- Occupied
- How many rooms currently have active renters.
- Vacant
- Rooms available for new renters.
- Total dues
- Sum of all unpaid invoice balances across all renters.
- This month โ billed
- Total invoice amount generated for the current month.
- This month โ collected
- Total payments received for the current month.
- Collection rate %
- Collected รท Billed ร 100.
- Pending dues table
- List of unpaid/partial invoices with renter name, room, period, and balance.
- Docs expiring (30d)
- Documents expiring within the next 30 days โ act on these urgently.
Tip: Check the dashboard every morning. The Pending Dues table and Expiring Documents widget are your daily action items.
Frequently Asked Questions
Can I have multiple properties in one account?
Yes. Add as many Locations as you need. Each location can have multiple rooms. All are managed under your single owner account.
What happens to data when a renter is archived (moved out)?
Nothing is deleted. All their invoices, payments, and documents remain in the system permanently. You can view them by filtering Renters โ Archived status.
Can I record partial payments?
Yes. Record any amount against an invoice. The invoice status updates to "Partial" automatically. Record more payments later; the status becomes "Paid" when fully covered.
WhatsApp messages are not sending. What should I do?
Check if WHATSAPP_API_KEY is set in your .env file. If it is blank, the system is in mock mode and messages are only logged. Also ensure the renter has a valid phone number saved.
I made a mistake on an invoice. Can I delete it?
Yes, if no payments have been recorded against it. Open the invoice โ scroll to the bottom โ click "Delete Invoice". If payments exist, delete the payments first.
How do I transfer a renter to a different room?
Go to the renter's profile โ click "Transfer Room" โ select the destination room โ confirm. The old room becomes vacant and the new room becomes occupied automatically.
What is the Punctuality Score?
It is a grade (A/B/C/D) shown on each renter's profile based on how often they pay before the due date. A = 90%+ on time, B = 75%+, C = 50%+, D = below 50%.
Can I export my data?
Yes. Go to Reports โ Collection Report โ Export CSV. This gives you the full monthly invoice and payment data in a spreadsheet.
How do I set up automated daily reminders?
Ask your hosting provider to add a cron job that runs scripts/send_reminders.php every day at 10am. The README file in your installation has the exact command.
Is my data secure?
Each owner's data is completely isolated โ your renters and invoices are never visible to other owners. Uploaded files are protected and require login to access. Passwords are stored using bcrypt hashing.
Can the same person be a renter under two different RentKhata owners?
Yes โ if a renter moves from one RentKhata landlord to another, the new owner sends a fresh portal invite. The renter sets up a new login for that tenancy. Their old tenancy's history (invoices, agreement) stays safely archived and viewable by logging in with that tenancy's original password.
Does listing a room publicly cost extra?
No โ Public Listing is included on all plans for now. This may change to a paid-tier feature in the future; any change would be announced in advance.
Public Room Marketplace
RentKhata includes a public, no-login-required page where anyone searching for a room to rent can browse your vacant, publicly-listed rooms.
How visitors find your room
- Visit /exploreAnyone โ a prospective renter, a friend sharing a link โ can open this page directly.
- FilterBy city and rent range (Min/Max).
- Browse cardsEach card shows the cover photo, monthly rent, city/area, a short description snippet, and the offer badge if you set one.
- Click a roomOpens the full detail page โ photo gallery, full description, amenities, and an inquiry form.
What is never shown publicly
- Exact address
- Only city/state is shown. Your full address stays private.
- Your phone/email
- Never displayed โ visitors contact you only via the inquiry form.
- Renter data
- Current or past renters' names, deposits, or lease details are never exposed.
- Occupied rooms
- A room disappears from /explore the instant it becomes occupied, even if still toggled "Listed".
Tip: See Chapter 3.4 for how to publish a room with photos, description, amenities, and an offer badge.
Managing Inquiries
When someone fills out the inquiry form on a room's public detail page, it becomes a lead in your Inquiries dashboard.
Working an inquiry
- Go to InquiriesClick "Inquiries" in the sidebar (under Communications).
- Review the leadVisitor's name, phone, the room they asked about, and their message.
- Contact them directlyCall or WhatsApp the number shown โ RentKhata does not message the visitor for you.
- Mark "Contacted"Once you've reached out, update the status so you can track who still needs follow-up.
- Mark "Close"When the inquiry is resolved (rented, not interested, etc).
Filter the list by status โ All, New, Contacted, Closed โ using the tabs at the top.
Note: Inquiries are not a booking system โ no payment or reservation happens here. It's purely a lead so you can follow up the same way you would with a walk-in visitor.
Renter Self-Service Portal
Renters get their own separate login at a different address from yours, where they can check invoices, pay via UPI, view their agreement, and upload their own documents โ without ever seeing your owner dashboard.
18.1 Inviting a Renter
- Complete move-in firstThe "Invite to Portal" button only appears once a renter's status is Active.
- Open the renter's profileGo to Renters โ click their name.
- Click "Invite to Portal"RentKhata generates a secure, one-time link.
- Share the linkIt's shown directly on screen with a "Copy Link" button โ paste it into WhatsApp, SMS, or hand it over in person. If the renter has a phone number saved, RentKhata also attempts to send it via WhatsApp automatically.
- Renter sets a passwordThey open the link once, choose a password, and are logged in immediately.
- Resend Invite
- If the link expired or wasn't received, generate a fresh one from the same button.
- Revoke Portal Access
- Immediately disables that renter's login โ useful for disputes or if the wrong phone/email was used.
Note: There is no public renter sign-up page by design โ only an Owner can invite a renter, so nobody can create a fake tenant account.
18.2 What Renters See
The portal opens with a hamburger menu (โฐ) โ built mobile-first, since most renters will use it on a phone.
Tip: When a renter pays via the UPI QR on their invoice, it does not auto-record as paid โ they're asked to inform you, and you still record the payment yourself from your dashboard (Chapter 6.3). This keeps a manual confirmation step, the same way it works everywhere else in RentKhata.
Subscription & Billing
RentKhata itself runs on a subscription. New accounts start on a free trial; afterwards, you choose a paid plan to keep using the dashboard.
Your free trial
Every new Owner account gets a free trial with full feature access โ no credit card required to start. A banner on your Dashboard counts down the days remaining.
Choosing a plan and paying
- Go to BillingFrom your account menu (top right) โ Billing.
- Choose a PlanCompare Starter / Growth / Pro by room limit and price. Toggle Monthly/Yearly.
- Pay via UPIScan the QR code or use the UPI ID shown to pay the plan amount.
- Enter the reference numberFrom your UPI app's transaction details, then click "Submit Payment".
- Wait for confirmationYour subscription activates once confirmed โ usually within a day.

The QR on the Billing page pays RentKhata's operator for your subscription fee. This is separate from any rent your renters pay you.

The UPI ID in your Account Settings (Chapter 20) is your own, shown to your renters when they pay invoices. RentKhata never touches that money.
Billing history
"Billing โ History" shows every payment you've submitted and its status: pending, confirmed, or rejected.

Manage your own profile, business details, UPI ID, and password from one page.

- Set your UPI IDThis is what your renters see on their "Pay via UPI" QR code. Without this set, the QR cannot generate properly.
- Change passwordEnter your current password, then the new one twice.
- SaveEach section saves independently.
Note: Set your UPI ID here as soon as you start using RentKhata โ it's required before the renter-facing "Pay via UPI" feature (Chapter 18.2) will work correctly.
